How to Archive Emails from IMAP Accounts in Outlook and Save Locally

Purpose :

This article explains how to archive emails configured as IMAP before a specific date (for example, all emails before April 03, 2026) using the Classic Outlook Desktop Application.

Option 1: Archive Emails by Date

Follow these steps to archive all emails older than a specific date:

Steps

  1. Open Outlook.

  2. Click on File.

  3. Go to ToolsClean Up Old Items.

  1. Select the folder you want to archive (e.g., Archive-Testing).

  2. Choose "Archive this folder and all subfolders".

  3. In "Archive items older than", select the date (April 03, 2026).

  4. Choose a location to save the archive file (.pst) or keep the default location.

  5. Click OK.


Result

  • All emails older than the selected date will be moved to a .pst archive file stored on your local system.

  • These emails can be accessed anytime through Outlook from your local machine.


Verification

  • Log in to webmail and check if Emails are removed from the server.


Option 2: Archive Selected Emails Only

Use this method if you want to archive only specific emails instead of all emails before a date.

Steps

  1. Open Outlook.

  2. Navigate to the folder that contains the emails (e.g., Archive-Testing) and select the emails you want to archive.

  3. Right-click on the selected email, then choose Move → Other Folder.

  1. Select the archive folder that was created separately in Outlook and is stored on your local system.

  2. Click OK.


Result

  • Only the selected emails (moved to the folder) will be archived into the .pst file.


Notes

  • Archived emails are stored locally in a .pst file, not on the mail server.

  • Ensure you back up the .pst file to avoid data loss.

  • You can reopen the archive file anytime in Outlook.
